Position:                     Administrative Assistant/Receptionist

Reports to:                 VP HR

FLSA Status:              Non-Exempt

Departments:              Human Resources

Location/Shift:            Burlingame/Day

 

Position Summary:

The AA is responsible for performing HR-related duties on a professional level, working closely with the HR team in supporting the operational needs of the department. This position carries out responsibilities in the following functional areas: communication, benefits administration, training and development, performance management, payroll, onboarding, staffing/employment, front desk, culture and diversity, affirmative action and employment law compliance.

This position will work half time at the front desk and the other half as an administrative assistant, supporting the Human Resources department.  

Responsibilities and Duties:

  • Partners with VP HR in staffing administration—headcount projection; interview scheduling management; oversight of job postings and maintenance of current job descriptions/profiles; update job boards as needed.
  • Collaborates with VP HR with scheduling and rostering of training and development curriculum and calendars.
  • Back-up to HR Director for processing multi-state Payroll through ADP.  Can process bi-weekly payroll independently.  Ultimate goal is to become the primary processor of payroll.
  • Confirms performance management process is well coordinated and assessments are processed according to annual cycle.
  • Prepares new hires by conducting and communicating to refine the new employee orientation program.
  • Supports HR Director with employee benefits programs and annual open enrollment process.
  • Maintains human resource information system records and compiles reports from the database.
  • Part of HR team that ensures legal compliance by monitoring and maintaining federal and state employment regulations and requirements; maintaining records; stationing annual posters.
  • Part of the HR team that recommends new approaches, policies and procedures to effect continual improvements in efficiency of the department and services performed.
  • Maintains historical human resource records by designing a filing and retrieval system; keeping past and current records.
  • Will support and partner with Front Desk personnel, job sharing and substituting when staff are out on PTO and rest breaks.
  • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
  • Directs visitors by maintaining employee and department directories; giving instructions.
  • Maintains security by following procedures; monitoring visitor log; issuing visitor badges.

  • Completes human resource operational and tactical requirements with a team effort mentality.
  • Performs other related duties as required and assigned.
  • Assist in on-boarding of new employees.
  • Maintaining database for compliance.

Preferred Education and Experience

A bachelor’s degree is preferred and two to three years’ human resource experience is required.

Must have advanced Microsoft Office (mainly Word and Excel) ability.

ADP experience.
